1.8. These Terms and Conditions must be read alongside our Privacy Policy and Refund Policy. Where applicable, mandatory legal requirements take precedence over any inconsistent provision.
2. STRICTLY PERSONAL USE ONLY
2.1. The Service is intended exclusively for personal mail, personal correspondence, personal online shopping deliveries and other legitimate private purposes approved by Chiltern WorkSpace.
2.2. The Service is not a business address service and does not provide a registered office, commercial premises, business mailbox or right to occupy any part of our premises.
2.3. You must not use, advertise, publish, disclose or represent the Allocated Address as:
a. A registered office address or proposed registered office for any company or other legal entity.
b. A Companies House address, director's service address, company correspondence address or business registration address.
c. A business trading address, commercial mailing address or business premises.
d. An address for business banking, merchant accounts, payment processors, credit facilities, business insurance or commercial financial services.
e. An address for HMRC business registration, VAT registration, PAYE, business tax correspondence or other business-related statutory registration.
f. An address for business websites, invoices, contracts, advertisements, commercial listings, online marketplaces or customer communications.
g. An address for receiving correspondence on behalf of a company, partnership, charity, association, trust or other organisation.
h. An address for conducting, promoting or administering a business, professional practice, commercial enterprise or trading activity.
2.4. This prohibition applies whether the business is newly formed, established, dormant, incorporated in the United Kingdom or overseas, or operated by you personally or through another person.
2.5. You must not use the Service to circumvent address verification, identity checks, registration requirements, regulatory obligations or the terms of another service provider.
2.6. You must not permit another person or organisation to use your Allocated Address for any prohibited purpose.
2.7. Freelancers, self-employed individuals, sole traders, directors and business owners may use the Service only for legitimate personal purposes. Their ownership or operation of a business does not permit business-related use of the Allocated Address.
2.8. If you require a business address, registered office address or commercial mail handling service, you must apply separately for an appropriate business service, subject to eligibility, verification and a separate agreement.
2.9. Any unauthorised business use constitutes a material breach of these Terms and Conditions and may result in immediate suspension or termination, subject to applicable law.
3. APPLICATION, IDENTITY VERIFICATION AND ACCEPTANCE
3.1. All applications are subject to approval by Chiltern WorkSpace. Registration or payment does not guarantee acceptance.
3.2. You must provide complete, accurate, current and truthful information, including your full legal name, residential address, valid contact details and any other information reasonably required.
3.3. We may require appropriate evidence of identity, residential address, age, intended use of the Service and authority to act on your own behalf.
3.4. We may request additional documentation or verification where reasonably necessary to establish your identity, prevent fraud, investigate suspected misuse or meet applicable legal and regulatory obligations.
3.5. We may refuse, delay or suspend activation where:
a. Your identity or residential address cannot be satisfactorily verified.
b. Information supplied is incomplete, inconsistent, false or misleading.
c. The proposed use appears inconsistent with personal-use restrictions.
d. We have reasonable grounds to suspect fraud, unlawful activity, misuse or unauthorised third-party use.
e. Accepting the application would create an unacceptable legal, security, operational or regulatory risk.
3.6. You must notify us promptly of any change to your name, residential address, telephone number, email address or other material account information.
3.7. We may periodically request updated information or repeat verification checks where reasonably necessary.
3.8. You must not create duplicate accounts, impersonate another person or use another person's identity documents without lawful authority.
3.9. We may retain appropriate records of verification and service activity in accordance with our Privacy Policy and applicable law.
4. ALLOCATED ADDRESS AND LIMITED PERMISSION
4.1. The Allocated Address is made available solely for the permitted personal mail and parcel receiving purposes described in these Terms and Conditions.
4.2. No tenancy, lease, property interest, exclusive possession, office licence, storage lease or right of access to our premises is created.
4.3. The Customer receives no ownership interest in the address, premises, mailbox infrastructure or any part of the building.
4.4. The Allocated Address must not be altered, transferred, sublet, resold, assigned or shared with any other person without our prior written approval.
4.5. We may change an allocated mailbox reference, internal routing arrangement or address format where reasonably necessary for operational, security or legal reasons. Where practicable, we will notify affected Customers.
4.6. We do not guarantee that any retailer, sender, courier, public authority or third-party organisation will accept the Allocated Address for its own purposes.
4.7. You are responsible for ensuring that a sender is authorised and willing to deliver an Item to the Allocated Address.
4.8. You must not represent that you occupy our premises, have staff working there or operate a business from the premises.
5. ACCEPTANCE AND HANDLING OF MAIL AND PARCELS
5.1. We may receive, identify, record and associate Items with your account, subject to operational capacity and these Terms and Conditions.
5.2. Receipt of an Item at our premises does not guarantee immediate processing, notification, scanning, forwarding or availability for collection.
5.3. Processing times may vary depending on delivery volumes, staffing, opening arrangements, security checks, courier procedures and circumstances outside our reasonable control.
5.4. We may record available information such as the delivery date, carrier, external packaging, tracking reference, apparent size and weight, and account allocation.
5.5. We are not required to open, inspect, photograph or verify the contents of every Item.
5.6. You remain responsible for the contents of Items addressed to you and must not arrange delivery of anything prohibited by law or these Terms and Conditions.
5.7. We may refuse, quarantine, isolate or decline to process an Item where reasonably necessary because of a safety concern, suspected illegality, contamination, damage, leakage, suspicious packaging, delivery restrictions or inability to identify the intended recipient.
5.8. We do not guarantee acceptance of cash, negotiable instruments, bearer instruments, valuable jewellery, precious metals, fragile goods, perishable goods, refrigerated goods, live animals, prescription medicines, controlled substances, age-restricted products, identity documents or other items requiring special handling. Such Items may be refused unless we have expressly agreed in writing to accept them and are legally permitted to do so.
5.9. We are not obliged to sign declarations, provide identification on a Customer's behalf, pay customs charges, accept delivery conditions or make commitments to a carrier without prior agreement.
5.10. Where a courier requires a signature or payment, we may decline the delivery if we cannot reasonably satisfy the requirement.
5.11. You must not assume that a delivery has been accepted until we have confirmed receipt through an available communication channel.

6.1. You must not knowingly arrange delivery of:
a. Illegal goods or goods derived from criminal activity.
b. Explosives, firearms, ammunition, prohibited weapons or other dangerous items.

h. Any Item prohibited by law, carrier restrictions, our reasonable safety procedures or an applicable regulatory requirement.
6.2. This list is illustrative and not exhaustive.
6.3. If we reasonably believe an Item presents a legal, safety, security or regulatory concern, we may refuse acceptance, isolate it, seek advice, contact the relevant carrier or authority, or take another lawful and proportionate action.
6.4. We may notify the appropriate authorities where required by law or where reasonably necessary to address a suspected serious offence or immediate safety risk.
6.5. You are responsible for reasonable, lawful costs directly attributable to your prohibited Item, including specialist handling, removal, return or disposal, where those costs are recoverable under applicable law.

7.4. The published website has stated both £0.50 and £0.20 per Item per day for storage after the free period in different sections. The applicable storage rate must therefore be clearly confirmed on the current Price List before these Terms are published or charges are applied.
7.5. The website describes the first seven working days of storage as free. The counting method, treatment of the arrival day, and charging start date must be stated clearly in the Price List.
7.6. Large-parcel charges will be determined by the applicable published criteria. We will communicate any non-standard charge before proceeding where reasonably practicable.
7.7. Postage, courier, customs, import duties, taxes, insurance, redelivery and other third-party charges are additional unless expressly stated otherwise.
7.8. We will not deliberately impose undisclosed service charges. Any applicable charge must be communicated in accordance with the Price List and applicable consumer law.
7.9. We may revise prices prospectively by publishing an updated Price List. A revised price will not retrospectively alter a service already completed or a charge already agreed, except where required or permitted by law.
8. PREPAID BALANCE AND PAYMENT
8.1. Where a prepaid wallet or account balance is used, you must maintain sufficient funds to cover chargeable services.
8.2. Applicable charges may be deducted from your available balance when a service is performed or requested in accordance with the disclosed charging arrangements.
8.3. We may decline to perform an optional chargeable service if sufficient funds are unavailable.
8.4. You must pay properly incurred charges for services you have requested or received, subject to applicable law and any agreed dispute process.
8.5. You must not attempt to circumvent the payment system, reverse legitimate payments fraudulently, manipulate transaction records or obtain chargeable services through false information.
8.6. Where a payment is reversed, dishonoured or disputed without a valid basis, we may investigate, suspend further chargeable services and seek recovery of sums lawfully due.
8.7. Any recovery costs must be reasonable, proportionate and legally recoverable. We will not impose arbitrary penalties.
8.8. Where a charge is disputed in good faith, you should contact us promptly with the transaction details. We will investigate the issue and correct any substantiated error.
8.9. Unused prepaid balances and refunds will be handled under our Refund Policy and applicable law. Nothing in these Terms removes any right to a refund that the law requires us to provide.
9. STORAGE, RETENTION AND UNCOLLECTED ITEMS
9.1. The standard free storage period is seven working days, subject to the published Price List and the clarification required under clause 7.5.
9.2. After the applicable free period, the disclosed storage charge may be applied for each chargeable Item and each chargeable day.
9.3. Storage is provided as an incidental part of the Service and is not an indefinite warehousing arrangement.
9.4. You are responsible for monitoring notifications, giving instructions promptly and ensuring that Items are collected, forwarded or otherwise dealt with within the applicable retention period.
9.5. We may set a reasonable collection or forwarding deadline where Items remain unclaimed, storage becomes excessive, the premises are affected by capacity constraints, or continued retention presents a security or operational concern.
9.6. Where reasonably practicable, we will notify you and provide a reasonable opportunity to give instructions before an unclaimed Item is returned, forwarded or disposed of.
9.7. Where an Item presents an immediate safety risk or must be dealt with urgently by law, we may take the action reasonably necessary without waiting for the ordinary notice period.
9.8. We may arrange return to sender, forwarding at your expense, secure destruction or other lawful handling of unclaimed Items, subject to any applicable statutory duties and reasonable notice requirements.
9.9. We will not treat an Item as abandoned merely because you have failed to collect it for a short period.
9.10. Any additional storage, return, forwarding or disposal charge must be disclosed, reasonably incurred and recoverable under the applicable terms and law.
9.11. If you know that you will be unavailable for an extended period, you must notify us and agree suitable arrangements in advance.
10. FORWARDING AND DISPATCH
10.1. Forwarding is available only where requested by the Customer and accepted by Chiltern WorkSpace.
10.2. You must supply a complete and accurate destination address, including any necessary postcode, country, recipient name and delivery instructions.
10.3. You are responsible for checking the destination details before confirming a forwarding request.
10.4. We may request payment of the applicable postage and handling charges before dispatch.
10.5. We may refuse international or domestic forwarding where the Item, destination, contents, carrier rules or applicable law prevent or restrict dispatch.
10.6. Customs declarations, import restrictions, duties and other destination-country requirements remain your responsibility to the extent legally applicable.
10.7. We do not guarantee delivery dates, transit times, customs clearance or the actions of Royal Mail, courier companies, customs authorities or other third parties.
10.8. Once an Item has been handed to the carrier, responsibility for the carrier's transport services rests with the relevant carrier, subject to any rights or liabilities that the law places on Chiltern WorkSpace.
10.9. You should request appropriate tracked or insured delivery for valuable, urgent or irreplaceable Items. Additional insurance is subject to availability and the carrier's terms.
10.10. Where a forwarding request cannot be completed, we may notify you and agree an alternative arrangement. Reasonable, disclosed costs already incurred may remain payable.
11. DOCUMENT SCANNING AND DIGITAL COPIES
11.1. Scanning is an optional service available for eligible Items.
11.2. Scanning charges apply in accordance with the Price List.
11.3. We will take reasonable care when scanning documents but do not guarantee perfect image quality, colour reproduction, completeness or recognition of handwriting, small print, damaged pages or unusual formats.
11.4. We may refuse to scan an Item where opening it would be unsafe, unlawful, inappropriate or inconsistent with the nature of the document.
11.5. Scanning does not constitute legal, financial, tax, medical or professional advice.
11.6. You are responsible for checking any digital copy and for retaining original documents where they are needed for legal, evidential or other important purposes.
11.7. We will handle scanned documents and electronic copies in accordance with our Privacy Policy, applicable data protection law and any disclosed retention arrangements.
11.8. We do not guarantee permanent availability of digital copies unless expressly agreed in writing.
12. SECURE DISPOSAL AND SHREDDING
12.1. Disposal or shredding will only be undertaken following a valid Customer instruction or where otherwise lawfully justified under these Terms and Conditions.
12.2. You must ensure that the Item is correctly identified and that you are authorised to instruct its disposal.
12.3. Once an Item has been securely destroyed, it cannot be retrieved.
12.4. We are not responsible for the consequences of a Customer's incorrect disposal instruction, subject to our legal obligations and any liability arising from our own breach.
12.5. Charges apply in accordance with the Price List.
13. IN-PERSON COLLECTION AND ACCESS TO PREMISES
13.1. All collections are strictly by prior appointment.
13.2. Walk-ins, unscheduled visits and demands for immediate access are not permitted. We may refuse an unarranged visit.
13.3. A notification that an Item has arrived does not mean that collection is available without an appointment.
13.4. You must comply with the agreed collection time and any reasonable access, security and identification requirements.
13.5. We may require valid photographic identification and may compare it with the account information held by us.
13.6. Items will normally be released only to the registered Customer. Third-party collection requires prior written authorisation acceptable to us and satisfactory verification of the nominated person.
13.7. We may refuse release where identity, authority, payment or entitlement is reasonably in doubt.
13.8. We may postpone an appointment because of operational disruption, security concerns, staff availability or circumstances beyond our reasonable control. We will seek to arrange an alternative appointment where appropriate.
13.9. Customers must behave respectfully and comply with reasonable safety instructions. Threatening, abusive, intimidating or disruptive conduct may result in refusal of access and suspension or termination of the Service.
13.10. Access to our premises is limited to the collection or other activity expressly authorised. Customers must not enter restricted areas, inspect other customers' Items, photograph confidential material or interfere with our operations.
14. CUSTOMER RESPONSIBILITIES AND SECURITY
14.1. You are responsible for the accuracy and security of your account information and login credentials.
14.2. You must notify us promptly if you suspect unauthorised access to your account or believe that another person is using your Allocated Address without permission.
14.3. You must not share your account credentials or allow unauthorised persons to submit instructions on your behalf.
14.4. You must not use the Service for harassment, fraud, money laundering, sanctions evasion, identity theft, unlawful concealment or any other unlawful purpose.
14.5. You must not interfere with our systems, attempt unauthorised access, manipulate records or misuse another Customer's information.
14.6. You must promptly inform us if you discover that an organisation, business or unrelated person is using your Allocated Address without your authority.
14.7. You remain responsible for arranging the redirection of your mail from any previous address and for notifying senders of changes to your personal mailing arrangements.
15. MONITORING, INVESTIGATION AND COMPLIANCE
15.1. We may monitor service usage, review delivery records, verify recipient details and investigate suspected breaches to the extent reasonably necessary and legally permitted.
15.2. Where appropriate, we may request clarification about the intended recipient or purpose of an Item, request updated identification, or temporarily restrict processing while a concern is investigated.
15.3. We may retain and disclose relevant information where required by law, a court order, a competent authority or another lawful obligation.
15.4. We may refuse to provide information to a Customer about an investigation where disclosure would be unlawful, compromise security or prejudice a legitimate investigation.
15.5. We will handle personal information in accordance with our Privacy Policy and applicable data protection legislation.
15.6. We do not promise absolute confidentiality where disclosure is legally required or necessary for a lawful and proportionate security response.
16. SUSPENSION, REFUSAL AND TERMINATION
16.1. You may request termination of your account by contacting us through an appropriate channel.
16.2. We may suspend, restrict or terminate the Service where we reasonably believe that:
a. These Terms and Conditions have been materially breached.
b. False, misleading or fraudulent information has been provided.
c. The Allocated Address is being used for business or another prohibited purpose.
d. The Customer has engaged in unlawful activity or attempted to facilitate it.
e. Identity verification has failed or legally required information has not been supplied.
f. An Item presents an unacceptable safety, legal, security or regulatory risk.
g. Charges properly due remain unpaid following any applicable notice or dispute process.
h. Continued provision of the Service would create an unacceptable risk or is no longer reasonably practicable.
16.3. Immediate suspension may be necessary where there is a serious suspected breach, immediate safety risk, suspected fraud or a legal or regulatory requirement.
16.4. Where practicable and lawful, we will explain the reason for suspension or termination and any steps available to resolve the matter.
16.5. Termination does not automatically authorise the destruction of your property. Remaining Items will be dealt with under clause 9, applicable law and any relevant legal restrictions.
16.6. You remain liable for properly incurred charges relating to services already provided, subject to applicable law.
16.7. Any unused balance will be addressed under the Refund Policy and applicable law.
16.8. Termination does not remove any rights or obligations that have already accrued.
17. LOST, DAMAGED, DELAYED OR MISALLOCATED ITEMS
17.1. We will exercise reasonable care when handling Items within our possession or control.
17.2. We do not guarantee that an Item will arrive at our premises, be accepted by a carrier, be processed immediately or be delivered by a particular date.
17.3. We are not responsible for the actions or omissions of senders, retailers, couriers, postal operators or other third parties except to the extent that applicable law makes us responsible.
17.4. You should notify us promptly of any apparent loss, damage or misallocation and provide the available tracking details and supporting information.
17.5. We will make reasonable enquiries into a substantiated report and, where appropriate, assist with information needed to raise a claim with the relevant carrier.
17.6. Nothing in these Terms excludes or restricts liability for loss or damage to the extent that it results from our negligence, breach of contract or other conduct for which liability cannot lawfully be excluded or restricted.
17.7. Where the law permits a limitation of liability, the relevant limitation will be assessed in accordance with clause 18 and the circumstances of the loss.
18. LIABILITY AND LIMITATIONS
18.1. We will provide the Service with reasonable care and skill as required by applicable law.
18.2. Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded or limited.
18.3. Nothing in these Terms removes or restricts any statutory consumer right or remedy that applies to you.
18.4. Subject to the preceding clauses, we are not liable for losses caused solely by circumstances outside our reasonable control, including postal network disruption, carrier failures, severe weather, power or communications outages, industrial action, or emergency restrictions, provided that this clause does not excuse a failure to take reasonable steps where required by law.
18.5. Subject to applicable law, we are not responsible for indirect or consequential losses that are not reasonably foreseeable and arise from the use of the Service.
18.6. We are not responsible for losses resulting from inaccurate information supplied by you, an incorrect forwarding address confirmed by you, your failure to collect Items promptly, or your failure to follow reasonable security instructions, to the extent that such conduct causes the loss.
18.7. We do not insure the contents of Items unless a separate written insurance arrangement expressly provides otherwise.
18.8. We do not guarantee that the Service is suitable for the receipt of irreplaceable original documents, legal notices, court documents, time-critical communications, passports, financial instruments or high-value property.
18.9. You should make alternative arrangements for important, urgent or legally time-sensitive correspondence and should not rely on the Service as the sole means of receiving communications where a missed delivery could have serious consequences.
18.10. No provision in this clause grants us immunity for our own negligence, breach of contract or other liability where such immunity would be unlawful.
19. PRIVACY AND DATA PROTECTION
19.1. We process personal information to administer accounts, verify identity, receive and allocate Items, provide requested services, process payments, prevent misuse and comply with legal obligations.
19.2. Our Privacy Policy explains the categories of information collected, purposes of processing, retention arrangements, disclosures, security measures and applicable data subject rights.
19.3. We will process personal information in accordance with applicable data protection law, including the UK GDPR and Data Protection Act 2018, as amended where applicable.
19.4. We will not treat this clause as blanket permission to use Customer information for unrelated purposes.
19.5. Customers may contact us using the details in clause 23 with questions or requests relating to personal information.
20. CHANGES TO THE SERVICE AND THESE TERMS
20.1. We may make reasonable changes to the Service to address operational needs, security, legal requirements, technical developments or changes in the services available to us.
20.2. We may update these Terms and Conditions where reasonably necessary.
20.3. Material changes will be communicated or published in an appropriate manner, with reasonable notice where practicable and legally required.
20.4. Revised terms will apply from the stated effective date, subject to applicable law and any requirement for express agreement.
20.5. We will not rely on a change to remove accrued rights or retrospectively impose a new charge for a service already completed.
21. COMPLAINTS AND DISPUTES
21.1. Complaints should be submitted to hello@chilternworkspace.co.uk with the Customer's name, relevant account details, a description of the issue and any supporting evidence.
21.2. We will review complaints fairly and respond within a reasonable period.
21.3. You should allow us a reasonable opportunity to investigate and resolve an issue before initiating further proceedings, except where urgent action or a legal deadline makes that impracticable.
21.4. Nothing in this clause prevents you from exercising a statutory right, contacting a relevant regulator or bringing a claim where legally entitled to do so.
22. GENERAL LEGAL PROVISIONS
22.1. If any provision of these Terms is found to be unlawful, invalid or unenforceable, the remaining provisions will continue to apply to the extent legally possible.
22.2. A failure or delay in exercising a right does not automatically waive that right.
22.3. These Terms, together with the applicable Price List, Privacy Policy, Refund Policy and any specific written agreement, form the contractual framework for the Service.
22.4. Where documents conflict, applicable law takes precedence. Any specific written variation agreed by both parties will take effect according to its terms.
22.5. You may not transfer your account or contractual rights to another person without our prior written consent.
22.6. Nothing in these Terms creates a partnership, agency, employment relationship, tenancy or joint venture between you and Chiltern WorkSpace.
23. GOVERNING LAW AND CONTACT DETAILS
23.1. These Terms and any dispute arising from them are governed by the law of England and Wales, subject to any mandatory consumer protection rights that apply.
23.2. The courts of England and Wales shall have jurisdiction where appropriate, without depriving a consumer of any mandatory right to bring proceedings in another competent court.
