These Terms & Conditions apply to the Chiltern WorkSpace Pay-As-You-Go Mail & Parcel Address Service ("the Service").

By registering for or using the Service, you agree to these Terms & Conditions.

1. The Service

Chiltern WorkSpace provides a pay-as-you-go mail and parcel receiving service from its Amersham location.

The Service is designed for private individuals who require an alternative mailing address for personal correspondence, online shopping deliveries, parcels and similar personal purposes.

The Service does not create a tenancy, lease, office licence or business premises arrangement.

2. Personal Use Only

The PAYG Virtual Address Service is strictly for personal use.

Customers must not use the address for:

  • Registering a company or business

  • Companies House purposes

  • A registered office address

  • A director service address

  • Business correspondence

  • Commercial trading

  • Business advertising

  • Business websites or marketing

  • Holding out the address as a place of business

  • Receiving mail on behalf of another business

  • Operating a business from the address

3. Customer Registration

Customers must provide accurate and current information when registering.

We may request appropriate identification and/or verification information before activating an account.

Customers must keep their account information up to date.

We reserve the right to refuse an application where we are unable to satisfactorily verify the applicant or where the intended use of the Service is inconsistent with these Terms & Conditions.

4. Receiving Mail and Parcels

Customers may have personal mail and parcels delivered to their allocated Chiltern WorkSpace address.

Each received item may be recorded and associated with the customer's account.

Chiltern WorkSpace will take reasonable care when receiving and handling items but cannot guarantee the condition, contents or security of an item before it reaches our premises.

Customers remain responsible for the contents of all mail and parcels sent to them.

5. Prohibited Items

Customers must not arrange for prohibited, unlawful, dangerous or hazardous goods to be delivered to the Service.

This includes, without limitation:

  • Illegal goods

  • Dangerous substances

  • Explosives

  • Weapons

  • Hazardous materials

  • Items prohibited by law

  • Items that cannot legally be received or stored by Chiltern WorkSpace

Where we reasonably believe an item may present a safety, legal or security concern, we may refuse delivery, isolate the item or take other appropriate action.

6. Storage

Items are normally stored for up to 7 working days without a storage charge.

After this period, the applicable storage charge will apply.

Customers are responsible for providing instructions to collect, forward or dispose of their items.

Chiltern WorkSpace is not required to store items indefinitely.

Where storage becomes excessive, unpaid or unreasonable, we may contact the customer and require the item to be collected, forwarded or otherwise dealt with.

7. Collection

All collections must be arranged in advance.

Walk-in or unscheduled collections are not permitted.

Customers may be required to provide photographic identification.

Items will normally only be released to the registered account holder.

A third party may collect an item only where the customer has provided prior authorisation acceptable to Chiltern WorkSpace.

Chiltern WorkSpace may refuse collection where satisfactory identification or authorisation cannot be provided.

8. Mail Forwarding

Customers may request forwarding of their items.

Forwarding charges consist of the applicable postage cost together with the relevant Chiltern WorkSpace handling charge.

Customers are responsible for ensuring that the forwarding address supplied is accurate.

Chiltern WorkSpace cannot be held responsible for delays, loss or damage caused by the postal or courier service after an item has been dispatched.

9. Scanning

Customers may request digital scans of eligible documents.

Scanning charges apply in accordance with the current Price List.

Chiltern WorkSpace will take reasonable care when scanning documents but cannot guarantee perfect reproduction of every document.

Customers should not send original documents to the Service where the original is irreplaceable or where loss or damage would create serious consequences.

10. Secure Disposal

Customers may request secure disposal of eligible items.

Once an item has been authorised for disposal and securely destroyed, it cannot be recovered.

Customers are responsible for ensuring that they have no further requirement for the original document before requesting disposal.

11. Payments

The Service operates on a prepaid pay-as-you-go basis.

Customers must maintain sufficient funds to pay for services used.

Applicable charges will be deducted from the customer's available balance.

Chiltern WorkSpace is not required to provide chargeable services where insufficient funds are available.

Prices are subject to change.

The applicable price at the time a service is requested will normally apply.

12. Refunds

Payments for services already provided are generally non-refundable.

Where a customer has an unused prepaid balance, any refund will be considered in accordance with Chiltern WorkSpace's Refund Policy and applicable consumer law.

Nothing in these Terms & Conditions affects any statutory rights that cannot legally be excluded.

13. Lost, Damaged or Delayed Items

Chiltern WorkSpace will take reasonable care of items while they are in our possession.

However, we are not the carrier responsible for transporting items to or from the customer.

We are not responsible for delays, loss or damage caused by Royal Mail, couriers, retailers, senders, recipients or other third parties.

Customers should use appropriate insured or tracked delivery services where an item is valuable or important.

14. Unclaimed Items

Where an item remains uncollected for an extended period, or storage charges remain unpaid, Chiltern WorkSpace may contact the customer and require instructions.

If the customer fails to respond within a reasonable period, Chiltern WorkSpace may arrange for the item to be returned, forwarded, securely destroyed or otherwise dealt with where legally permitted.

Additional costs may be charged to the customer.

15. Misuse of the Service

Customers must not misuse the Service.

Misuse includes, but is not limited to:

  • Providing false information

  • Using the Service for business purposes

  • Attempting to register a business at the address

  • Using the address for fraudulent activity

  • Using the Service to facilitate unlawful activity

  • Repeatedly sending prohibited items

  • Attempting to bypass these Terms & Conditions

  • Providing the address to third parties for unauthorised use

We reserve the right to suspend or terminate an account where misuse is suspected or identified.

16. Termination

Either the customer or Chiltern WorkSpace may terminate the Service.

Chiltern WorkSpace may terminate or suspend an account immediately where:

  • These Terms & Conditions have been breached

  • The Service is being misused

  • False or misleading information has been provided

  • There is a legal, regulatory or security concern

  • Payments due remain unpaid

  • Continued provision of the Service would create an unacceptable risk

Where an account is terminated, the customer remains responsible for any outstanding charges.

17. Changes to These Terms

Chiltern WorkSpace may update these Terms & Conditions from time to time.

The latest version will be published on the Chiltern WorkSpace website.

Continued use of the Service after updated Terms & Conditions come into effect constitutes acceptance of the revised terms, subject to applicable law.

18. Privacy

Customer information will be handled in accordance with the Chiltern WorkSpace Privacy Policy and applicable data protection legislation.

Personal information may be used where necessary to provide the Service, administer accounts, process payments, communicate with customers and comply with legal obligations.

19. Limitation of Liability

Nothing in these Terms & Conditions excludes or limits liability where such exclusion or limitation would be unlawful.

Subject to applicable law, Chiltern WorkSpace will not be responsible for indirect or consequential losses arising from the use of the Service.

Nothing in these Terms & Conditions affects the customer's statutory rights.

20. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Any disputes will be subject to the jurisdiction of the courts of England and Wales, subject to any mandatory consumer protection rights that may apply.

Customer Acceptance

By registering for or using the Chiltern WorkSpace Pay-As-You-Go Mail & Parcel Address Service, you confirm that:

  • You have read and understood these Terms & Conditions.

  • You are using the Service for personal purposes.

  • You will not use the address for business registration or commercial activity.

  • The information you have provided is accurate.

  • You agree to pay the applicable charges.

  • You agree to comply with these Terms & Conditions.
